Application/nomination procedures:

All candidates must be students. They must send to the First Vice-President an electronic file of a summary of the oral presentation before the deadline. Papers in the competition may have multiple authors; however the competing student must be the first author. In the case of multiple authors, the student's supervisor must also submit a letter stating that the research is primarily that of the student, an summarizing the contribution of each author. The summary should not exceed 1000 words and should include the objectives of the study, a brief description of
the materials and methods, the results, conclusions and scientific relevance. The primary purposes of the summary are to place the contribution within the perspective of the discipline and for prescreening when the number of applicants exceeds the capacity of the judging committee. Therefore, it is normally inappropriate to devote excessive space to materials and methods. It is, however, appropriate to cite pertinent references. The submission should also include the abstract that is forwarded in response to the call for papers issued by the organizers of the Annual Meeting

Application deadline:

Established by the Committee of Judges. Normally at or about the time of the abstract submission deadline for the AGM.

Adjudicators:

The recipient of the Hoar Award will be selected by a Committee of Judges that will be appointed annually by the First Vice-President of the Canadian Society of Zoologists. A broad representation of fields of Zoology will be included in the Committee.

Selection procedures:

The Committee of Judges will select approximately 7 submissions on the basis of scientific merit. The authors of the selected summaries will present their papers at the Annual Conference. The Committee of Judges will select the Hoar Award recipient by consensus on the basis of oral presentation and scientific content. Papers that do not qualify for the oral presentation will be scheduled in the regular sessions without mention of their participation in the Hoar Award Competition.

Advertising:

A standing advertisement of regulations for the next competition shall be placed in the Fall issue of the Bulletin and on the web site (updated annually with appropriate contact information).

Notification of applicants/nominees:

The recipient will be announced by the First Vice-President at the Banquet during the AGM.

Awarding of prize:

The Secretary shall prepare a suitable scroll to be presented by the 1st Vice-President to the recipient at the Society banquet, if present. Otherwise the Secretary will mail the scroll. The Treasurer will issue a cheque for the prize after receiving appropriate documentation from the recipient.
